Employee Assembly Meeting
Wednesday, September 5, 2012
12:15–1:30 p.m.
401 Physical Science

I. Call to Order

T. Grove called the meeting to order at 12:19 p.m.

Present: J. Ambrosetti, R. Blanco, J. Boodley Buchanan, D. Brooks, A. Capogrossi, B. Cristelli, L. Croll Howell, B. Esty, C. Ferguson, T. Grove, E. Lee, L. Morris, L. Sayam, B. Schaffner, M. Stefanski Seymour

Absent: M. Kitchen, T. Mitchell, G. Osborne

II. Call for Late Additions to the Agenda

T. Grove asked for any late additions to the agenda. D. Brooks asked if he could discuss the Supervisor Review committee. T. Grove said this would be covered in the Report from the Chair T. Grove made two changes to the order of the agenda, moving the “Report from the Chair” and the “Membership Vote” to the last two items of the meeting under the Executive Session.

III. Approval of Minutes from last meeting

B. Schaffner said the minutes had been amended since they were sent to the EA members the day before. T. Grove asked for any further amendments. B. Schaffner made a motion to approve the minutes. The motion was seconded and the EA unanimously approved the minutes from August 15, 2012.

IV. Business of the Day

a. President’s Address

T. Grove stated the President’s Address is scheduled for 12 noon on October 9, 2012. She asked B. Esty if everything is set with Bailey. B. Esty said everything is set and the only thing left is to set up a meeting to go over specifics for the event. T. Grove will be contacting M. Opperman to see if live streaming will be supported for this event similar to last years address.

The main topic for the President’s Address is discussing the updates regarding the employee survey. T. Grove said people from each of the groups working on the survey will be invited to the address to help with the questions and answers portion of the event.

L. Morris said the Communication Committee is responsible for publicizing the event. Publicity will include advertisements in the PawPrint as well as campus wide emails to the all employees.

Finally, T. Grove mentioned there is an award given out to selected employees during the event. The members of the EA made suggestions as to who should be honored. T. Grove asked that any further suggestions should be emailed to her before the next EA meeting on September 19, 2012.

b) Meeting Schedule

T. Grove explained over the next couple of meetings there will be a few guests who will come and present to the EA. The first guest, Paul Bursic, will be attending the October 3rd meeting to discuss employee benefits and the Health Now decisions. M. Opperman will be attending either the October 17th or November 7th meeting, the actual date has not yet been confirmed. T. Grove asked L. Croll Howell if she was able to confirm Lynette Chappell-Williams for December 5th. L. Croll Howell explained she is still communicating with Lynette but nothing has been confirmed. Finally, President Skorton and M. Opperman will be attending the December 19th meeting.

B. Schaffner said during the executive committee meeting it was discussed that the first meeting of the spring semester is scheduled for January 2, 2013. A. O’Donnell suggested moving the meeting to January 9th or canceling the meeting. T. Grove asked the members of the EA and they decided to move the meeting to January 9th. There was also some discussion on possibly changing the November meeting so it is not the day before Thanksgiving; however, no decision was reached. T. Grove said she will email the EA as the meeting date approaches.

VI. Old Business

a) Personal Committee Charge

T. Grove explained the Personnel Committee was discussed at the August 15th meeting. The committee is currently looking for an issue that affects the staff. Last year, the committee examined the funeral leave issue and was able to make steps in assisting employees about their funeral leave. T. Grove asked the members if they had any ideas for the committee to look into. M. Stefanski Seymour suggested training employees on how to log hours into Kronos, more specifically training on how do specialized logs like a funeral leave. T. Grove asked that any other suggestions be sent to her via email.

b.) Employee Day Volunteers

T. Grove explained Employee Day is on October 7th and the event coordinators have requested the EA have a table. T. Grove said the EA had a table a couple of years ago and there was little interest. However, she suggested procuring a table this year so that people interested in the employee survey could come and talk to the EA. T. Grove will be putting together information for the table and asked for volunteers. J. Boodley Buchanan, A. Capogrossi, B. Cristelli, B. Schaffner, and L. Sayam all volunteered. T. Grove explained only a few volunteers were needed for the table; however, some of the volunteers could help elsewhere at the event.

T. Grove asked if there was any other business the EA would like to address before starting the executive session. United Way is currently looking for a volunteer to sit in from the EA. The commitment is only for every other Wednesday and people interested are encouraged to email T. Grove.

VII. New Business- Executive Session- This portion of the meeting was not recorded.

a.) Voting on new members

T. Grove explained there are two open positions and three candidates who have applied. There was some discussion on the candidates and then the EA voted by paper ballot for two candidates. The newly elected EA members are:

  • Nancy Bell: At-Large Member
  • Gregory Mezey: Exempt Member

b.) Report from chair

There was a long discussion on the employee survey. This information has not been publicized yet and therefore will not be presented in the minutes.

VIII. Adjournment

T. Grove made a motion to adjourn the meeting. It was seconded and the EA meeting of September 5, 2012 was adjourned at 1:30 p.m.
